YWCA Hartford Region Chooses NewOrg to Support Program Data Management

One of Connecticut’s oldest nonprofits dedicated to women’s empowerment selects NewOrg as its new data management platform, choosing a right-sized, cost-effective solution built around its programs.

Serving nearly 3,500 people annually, YWCA Hartford Region helps individuals and families advance their educational, career, and financial aspirations to set a strong foundation for life-long stability and economic security. With a mission of eliminating racism, empowering women, and promoting peace, justice, freedom, and dignity for all, their vision is to become a community with unlimited opportunities to un-limit opportunity. YWCA Hartford Region promotes change at both systemic and personal levels by improving the lives of individuals and families in their community. Through advocacy, programs, and services, they pursue their mission, largely by bridging gaps in resources to address economic insecurity.

The Challenge: A “One-Size-Fits-None” System'

As YWCA Hartford Region grew with the needs of its community, finding innovative ways to meet those needs required innovative solutions, including a creative and flexible approach to data management. For years, the organization had relied on another platform as its primary system. But as its programs expanded and its data needs became more complex, the organization needed a solution that could better adapt to its multi-program service model.

Staff described the previous system’s approach as a “one-size-fits-none” model, offering a rigid structure where a more adaptable, program-specific solution was needed. As the organization looked ahead to customized reporting, expanded participant engagement, and more responsive support, leadership saw an opportunity to move toward a platform better suited to its programs and long-term goals.

With the contract for its previous platform approaching its December expiration, YWCA Hartford Region set out to find a system that could offer greater flexibility, customization, and hands-on support. The transition also needed to account for a January 1, 2026 data export deadline, making a smooth implementation timeline especially important.

Why YWCA Hartford Region Chose NewOrg

After evaluating its options, YWCA Hartford Region found that NewOrg offered the flexibility, customization, and hands-on support the organization was looking for. Key factors in the decision included:

  1. Flexibility and customization: NewOrg offered the ability to tailor the platform to YWCA Hartford Region’s specific, program-by-program needs, allowing staff to configure data points, workflows, and reporting to match how each program operates.
  2. Dedicated support: Responsive, meaningful support was an important part of YWCA Hartford Region’s evaluation process. NewOrg’s commitment to hands-on implementation assistance and ongoing customer support was a critical differentiator.
  3. Public portal capabilities: NewOrg’s built-in public portal allows interested participants to signal interest, establish eligibility, and register online, a key requirement for YWCA Hartford Region’s service delivery model.
  4. Built for nonprofits: As a cloud-based platform designed exclusively for nonprofit organizations, NewOrg offered the data management and reporting infrastructure that mission-driven organizations need without the bloat of a generic enterprise system.

With an expedited timeline driven by the data export deadline, NewOrg’s implementation team worked closely with YWCA Hartford Region to ensure a smooth transition and go-live well ahead of January 2026.

How NewOrg is Enhancing YWCA Hartford Region’s Data Management

With NewOrg in place, YWCA Hartford Region now has a robust, easy-to-use platform to manage its multi-programmatic services. Key capabilities making a difference include:

Participant Management by Program

NewOrg enables YWCA Hartford Region to track participants with bespoke, program-specific data points, capturing the information that matters most for each unique program rather than forcing all services into the same rigid structure. Staff can manage participants’ movement through programs and record their in-program events and communications, giving the organization a complete, up-to-date picture of every individual they serve.

College Placement and Job Tracking

For YWCA Hartford Region’s career training and economic empowerment programs, NewOrg provides a dedicated framework for establishing participants’ educational and career goals and following their progress over time. This longitudinal tracking allows staff to provide more targeted support and gives the organization meaningful outcome data to demonstrate program impact to funders and stakeholders.

Public Portal

NewOrg’s public-facing portal allows interested participants to signal interest in programs, establish eligibility, and register online, reducing administrative burden on staff and making it easier for community members to take the first step toward accessing YWCA Hartford Region’s services. This self-service intake capability is a meaningful improvement over the more manual processes the organization previously managed.

Data Migration

NewOrg worked with YWCA Hartford Region to consolidate and import records from its previous system onto the NewOrg platform, ensuring that years of participant history and program data were preserved and accessible from day one. A clean, well-structured migration meant staff could hit the ground running without losing the institutional knowledge embedded in their data.
