Case Study | October 2024 | Society of St. Vincent de Paul Exeter Upgrades to NewOrg, Simplifying Client Intakes

The Society of St. Vincent de Paul Exeter has been dedicated to providing emergency food and assistance to those in need since 1989, continually expanding its efforts to serve the community with dignity and compassion.

Exeter, NH – The Society of St. Vincent de Paul Exeter (SVdP) has been a cornerstone of community support in Exeter, New Hampshire, since its establishment in 1989. Dedicated to providing emergency food and assistance to those in need, SVdP steps in when other resources have been exhausted, offering essential aid to the community’s most vulnerable. The Society of St. Vincent de Paul was founded in 1833 in Paris, France, by Frederic Ozanam and his peers to uplift the poor. This mission quickly expanded, leading to the establishment of the Society’s first U.S. conference in St. Louis, Missouri, in 1845. Today, the Society has a presence in 150 countries and operates over 4,400 conferences across the United States. In Exeter, SVdP’s journey began in a building provided by St. Michael Parish. In 2011, after more than two decades of dedicated service, SVdP acquired its own facility at 53 Lincoln Street, enhancing its ability to serve the community through the creation of the Community Assistance Center. Collaborating with local agencies such as Rockingham Community Action and Families First, the Center quickly outgrew its space. In 2015, with strong community support, SVdP expanded its facilities, adding offices, a conference room, and an expanded pantry, ensuring it continues to meet the needs of those it serves with dignity and respect.

Society of St. Vincent de Paul Exeter previously relied on File Maker for their documentation and management needs but quickly encountered the platform's limitations as their operations grew. The outdated system made it challenging to generate comprehensive reports, and the organization had to rely on cumbersome spreadsheets and manual processes. Recognizing the need for a more modern and efficient solution, they transitioned to the NewOrg Management System, which offered a more robust platform to address their expanding needs. This transition has significantly improved their operational efficiency, allowing Society of St. Vincent de Paul Exeter to better focus on their mission and deliver enhanced services to their clients.

To address their growing challenges, NewOrg implemented the following solutions:

  1. Food Pantry Tracking System: Configured a system to efficiently record visits and manage the distribution of food items, ensuring better tracking of pantry activity.

  1. Auto-refreshing Visitor Lists: Developed an automated, real-time list of current food pantry visitors, streamlining operations and improving service delivery.

  1. Centralized Volunteer Management: Combined volunteer applications, onboarding, and time tracking into one centralized system, simplifying volunteer coordination.

  1. Volunteer Communication: Set up automated email notifications to keep volunteers informed about upcoming opportunities and maintain engagement.

  1. Comprehensive Assistance Tracking: Deployed tools to track and report on multiple types of client assistance, improving transparency and reporting accuracy.

  1. Growth and Future-readiness: Introduced a scalable system to support St. Vincent de Paul Exeter's future service delivery and operational growth.
